When to retire a sending domain and start fresh: the warning signals most cold emailers ignore until it is too late

Most people wait until a domain is fully burned before they do anything about it. By then you've spent weeks sending emails that went nowhere and probably damaged your other domains through association. Here are the signals that tell you it's time to retire a sending domain before the situation becomes an emergency.
Bounce rate above 2% sustained for 3 consecutive days. This is the clearest signal. Pull your per-domain bounce rate in Smartlead or Instantly every morning. If one domain is running above 2% for more than 3 days straight, pause it immediately and run a fresh GlockApps placement test. Do not wait for it to resolve on its own. It will not.
GlockApps showing under 70% inbox placement. A healthy domain should pass at 85% or higher. Anything under 70% and you are delivering mostly to spam. The math is simple: 15 emails per day at 30% inbox placement means 4 or 5 emails being seen. That is not worth the domain cost or the list burn.
Blacklist hits in MXToolbox. Check your sending domains weekly, not after something breaks. A blacklist hit is recoverable if you catch it early. If you've been sending for three weeks on a blacklisted domain, the damage is already done before you even checked.
Declining reply rate on the same list segment. If you're running fresh contacts with verified emails and reply rate is declining week over week on a specific domain, that domain is building a negative reputation. Retire it and move the volume to fresh domains before it contaminates the rest of your infrastructure.
What to do with a retired domain. Let it rest for 60 days minimum with no sends. Keep the DNS records active. Some practitioners put it back into warmup after 90 days. Others let it go and buy a fresh one. PuzzleInbox makes getting replacement pre-warmed domains fast. I don't fight to save burned domains. The time cost is not worth it when a fresh domain costs less than $15 and arrives pre-warmed.
