Clients who ask too many questions in check-in calls do it because your reporting is bad. Not because they are difficult. They cannot see what is happening so they fill the gap with questions. I fixed my client reporting format eight months ago and my average monthly check-in call went from 90 minutes to under 20.
Here is the exact report structure I send every Friday as a shared Google Doc.
Section one: numbers this week. Reply rate, total replies, positive replies, meetings booked. Four numbers. Nothing else. No open rate. Open rates are noise from Apple MPP and security bots. Sending clients open rate data trains them to ask about the wrong metric.
Section two: what changed. If I adjusted copy, rotated inboxes, changed sequence timing, or updated the target segment, I note it here. One sentence per change. Clients want to know you are actively managing their account. This section proves it without a call.
Section three: next week plan. One or two sentences. What I am testing or scaling next week. Gives the client visibility into forward motion without turning Friday into a strategy meeting.
Section four: domain health status. Green, yellow, or red for each sending domain. Green means all clean. Yellow means I am watching something. Red means I already paused and am fixing it. I use PuzzleInbox's spam checker and MXToolbox for this. Takes about 8 minutes to check all client domains on Friday morning.
The Google Doc format means clients can read the report in under 90 seconds. They do not need a call to interpret it. When something is yellow or red, they call me. That is the right call to have.
Before this system I was sending unformatted email updates that prompted 12 follow-up questions per client per week. Multiply that by 14 clients and you understand why I built the report.
Your reporting format is your account management. Bad reporting creates anxiety. Clean reporting creates trust. Send the Friday report every Friday without exception.
