Unsubscribe management sounds boring until you accidentally re-email someone who opted out and they report you to their ESP. I manage 8 simultaneous cold email campaigns across 3 client accounts. Here is the exact system that keeps me out of trouble.
I run all campaigns through Instantly. The built-in unsubscribe mechanism appends a real opt-out link to every email. When someone clicks, they are automatically suppressed from all sequences in that workspace. I don't build my own unsubscribe system. I use the one that exists and is already compliant.
The problem Instantly doesn't solve by itself: unsubscribes across different client workspaces. If someone opts out of a campaign I run for Client A and their company also falls in the ICP for Client B, Instantly won't automatically suppress them in Client B's workspace. You have to manage that yourself.
My process: every Friday I export the unsubscribe list from every client workspace. I load them into a master suppression list in a shared Airtable base. Every Monday when I pull new lists from Apollo, I run a lookup against the master suppression list before loading contacts into any campaign. Takes about 15 minutes per week. It has caught cross-workspace re-contacts twice in six months.
CAN-SPAM requires a physical mailing address in every commercial email. I use my business address in every signature. If you're a remote operation with no office, a registered agent service gives you a real address for under $100 per year.
The unsubscribe link should work without requiring a login or a confirmation form. If your opt-out requires three steps, you have a compliance problem regardless of how you think about it.
This is not complex. Use the tools that exist, build a suppression list that spans all your workspaces, and you won't have a problem. The 15 minutes per week is worth it.
