Google Workspace vs Outlook for cold email. Which should you use?

I have run cold email campaigns on both Google Workspace and Outlook 365 for over two years. Here is my honest take on when to use each and why most people should use both.

Google Workspace strengths:

  • Better deliverability to Gmail recipients. Google trusts its own ecosystem, and roughly 30-40% of business email runs on Gmail/Google Workspace. Sending from Google to Google just works better.
  • OAuth connection to sending platforms is seamless. Instantly and Smartlead both have native Google OAuth integration that takes 30 seconds to set up.
  • Higher safe sending volume: 15-20 cold emails per day per inbox without triggering rate limits.

Google Workspace weaknesses:

  • More expensive per inbox. Expect $3-5 per inbox through providers like PuzzleInbox.
  • Stricter suspension policies. Google will suspend accounts faster than Microsoft if they detect suspicious activity.
  • Account recovery is harder. Once Google suspends a Workspace account, getting it back is difficult.

Outlook 365 strengths:

  • Better deliverability to Microsoft recipients. Outlook, Hotmail, and corporate Exchange servers all favor Microsoft-origin emails.

Outlook 365 weaknesses:

  • SMTP/IMAP setup is more complex than Google OAuth.
  • Deliverability to Gmail recipients is noticeably worse than Google-to-Google.
  • The admin interface is clunky compared to Google Workspace.

My recommendation: use both. I run 60% Google Workspace and 40% Outlook across all campaigns. This gives me platform diversification — if Google tightens enforcement, my Outlook accounts keep running, and vice versa. It also maximizes inbox placement because I am matching sender platform to recipient platform more often.
