Google Workspace admin console tips every cold emailer should know

spfguy · 2026-02-12 · 2,120 views

If you manage your own Google Workspace accounts, here are the admin console settings that actually matter for cold email deliverability.

1. Enable 2FA on all accounts. Google trusts accounts with 2FA more. This directly impacts your sending reputation.

2. Set up proper routing rules. If you are using a sending platform via SMTP, configure routing correctly so emails appear to come from your domain.

3. Monitor Postmaster Tools. Add your domain to Google Postmaster Tools. Watch spam rate, IP reputation, domain reputation, and authentication success rate.

4. Configure OAuth properly. For platforms like Instantly or Smartlead that support OAuth, always use OAuth over app passwords. Google trusts OAuth connections more.

5. Set recovery email and phone. Accounts without recovery information are more likely to get flagged for security reviews.

If you use PuzzleInbox, most of this is handled for you. But if you are self-managing Google Workspace for cold email, these settings make a real difference.

the 2FA tip is gold. I enabled it on all my inboxes last month and my domain reputation in postmaster tools went up within 2 weeks. didn't change anything else

wait so OAuth is better than app passwords for connecting to Instantly? I've been using app passwords this whole time lol

spfguy · 2026-02-13

@noobsender yes, always use OAuth when available. Google monitors how accounts connect to third-party services. OAuth connections are trusted more than app passwords. Most modern sending platforms support OAuth now.

Postmaster Tools is criminally underused. It's free, takes 5 minutes to set up, and tells you exactly how Google sees your sending reputation. If you're not checking it weekly you're flying blind.

does anyone know if managed inbox providers typically set up 2FA on the Google Workspace accounts? or do I need to do that myself?

laurenops · 2026-02-15

@haileyops depends on the provider. the good ones handle the full admin console setup including security settings. ask your provider specifically — if they don't, that's a yellow flag

great list. I'd add: check your Google Workspace plan level. Business Starter works fine for cold email, no need to pay for Business Standard or Plus unless you need the extra storage
