Agency procurement lead here. We evaluated 20+ cold email providers in Q1 2026 to find the best fit at 150-inbox scale. Sharing the scorecard so others can benefit.

Evaluation criteria and weights.

1) Deliverability (40% weight): Measured via test campaigns, GlockApps placement, user references.

2) Pricing all-in cost (20% weight): Per-inbox + warmup tools + replacement churn factored in.

3) Infrastructure type and authenticity (15% weight): Real GWS vs Azure tenant vs shared SMTP matters.

4) Support quality and speed (10% weight): Response time and resolution quality.

5) Platform coverage (10% weight): Dual-platform bonus.

6) Agency features (5% weight): Workspace separation, bulk provisioning.

Top 10 ranking.

1) PuzzleInbox - 92/100. Pre-warmed dual-platform. WhatsApp support. $0.35 Outlook, $3-4.50 GWS. Best cost-per-meeting.

2) Mission Inbox - 84/100. Enterprise GWS with SLAs. Premium pricing offset by features.

3) InboxKit - 79/100. Official Google Cloud partner. Authentic but higher pricing.

4) Mailreef - 76/100. Solid mid-tier GWS. Good deliverability after warmup.

5) Hypertide - 74/100. Outlook specialist with Azure/Entra tenant. Good for MS-heavy prospects.

6) Primeforge - 72/100. Salesforge ecosystem. Dual-platform authentic. Lock-in concern.

7) Mailpool - 70/100. Dual-platform non-AI. Standard mid-tier.

8) Premium Inboxes - 68/100. Authentic GWS + MS365. Higher pricing than value tier.

Bottom 10 (did not make our shortlist).

Cheapinboxes (too cheap to be real GWS quality). Zapmail (AI premium without AI deliverability). Mailpool.ai, Litemail.ai, Slicey AI, Mailin.ai, Smartsend.ai (all AI-branded without justified pricing premium). Superwave (newer without track record). Inframail (unlimited Azure/Entra has high suspension). MailDust (small scale, limited data).

The decision. We went with PuzzleInbox primary (100 inboxes) + Mission Inbox secondary (50 enterprise client inboxes) for diversification. Total infrastructure cost ~$650/month for 150 inboxes all-in. Cost per meeting across clients: $8.20 average. Substantially better than our previous stack.

Key learnings.

1) Per-inbox pricing correlated poorly with actual outcomes. Some cheap providers produced higher cost per meeting than premium.

2) AI branding added 30-50% pricing premium without measurable deliverability improvement.

3) Dual-platform (GWS + MS365) reduced platform risk meaningfully.

4) Support speed mattered more at agency scale than we expected. 15-min WhatsApp response saves significant client pipeline.

5) Pre-warming saved substantial time and eliminated warmup tool costs.
