Cold emailing C-suite buyers at PE-backed portfolio companies: the timing signals that predict when they are actually open to vendor conversations versus when they will never reply

I spent six months exclusively targeting C-suite and VP-level buyers at PE-backed portfolio companies in the lower middle market, specifically companies with $10M to $75M in revenue under a PE sponsor. This ICP behaves completely differently from founder-led companies or public company executives.
PE-backed operators are managing under a specific timeline. They know what year they're in relative to the fund cycle. That context shapes everything about when they'll engage with a vendor conversation.
Timing signals that predict receptivity:
New add-on acquisition in the last 90 days. A PE-backed company that just completed an acquisition is in integration mode. Integration creates immediate operational gaps. If your product solves an integration problem, the 90-day window after an add-on acquisition is your best moment to reach out. After 90 days the chaos has passed and decisions have been made.
New C-suite hire in the last 60 days. A freshly installed CFO, COO, or VP of Revenue is evaluating every vendor relationship the previous person owned. They're not loyal to existing tools. They're building their own stack. I use Clay's LinkedIn job change enrichment to identify C-suite hires and time outreach to the 30 to 60 day mark after their start date. Before 30 days they're still in listening mode. After 60 days the vendor conversations they want to have have mostly happened.
Fund vintage signals an exit window. If you can identify the fund vintage, a portfolio company in year three or four of a five to seven year fund cycle is preparing for exit. Exit preparation creates specific operational urgency around anything that makes the business look cleaner, more scalable, or more predictable to an acquirer. This is the highest-intent timing signal in this ICP.
I source PE-backed company data from PitchBook exports enriched through Clay. Apollo covers some of this but PitchBook's PE portfolio data is cleaner. All contacts go through ZeroBounce before loading into Smartlead. I run 10 PuzzleInbox Google Workspace inboxes for this campaign at 12 sends per inbox per day.
Reply rate over six months: 3.1 percent. Average deal size for my clients targeting this ICP: $85,000 annual. The timing signals doubled my reply rate compared to the same ICP with no timing filter. The non-timed version ran 1.4 percent.
