How many cold emails per day per inbox is safe? The real limits

Lots of conflicting info on safe sending limits per inbox. After managing 500+ inboxes across multiple providers, here are the actual safe limits in 2026.

Google Workspace:

  • Cold emails: 15-20 per day maximum
  • Warmup emails: 20-30 per day alongside cold sends
  • Total sends per day: 40-50 including warmup
  • Hard limit: Google allows 500 emails/day per account, but sending anywhere near that for cold email will get you suspended

Microsoft Outlook/365:

  • Cold emails: 10-15 per day maximum
  • Warmup emails: 15-20 per day
  • Outlook is stricter than Google about sending patterns

What happens if you exceed these limits:

  1. First warning: temporary sending rate limit (emails queue instead of sending)
  2. Second warning: temporary account suspension (24-72 hours)
  3. Third strike: permanent account suspension. No recovery.

Factors that affect your safe limit:

  • Account age (older accounts can safely send more)
  • Warmup quality and duration
  • Bounce rate (high bounces lower your safe limit)
  • Spam complaint rate
  • Content quality and engagement signals

My recommendation: start at 10/day for the first 2 weeks of cold sending, ramp to 15/day in week 3, and max out at 20/day in week 4. Never go above 20 cold emails per inbox per day on Google Workspace. It is not worth the risk of losing the account.

These limits are accurate. I will add that Outlook is notably stricter than Google about sending patterns. Outlook watches for repetitive content across sends more aggressively. If you are sending the same template from Outlook inboxes, randomize the copy more than you would for Google Workspace. Spintax helps a lot here.

the three strike system is real and google does not give warnings anymore. i lost 5 accounts in one day because they were all on the same domain sending 25/day each. now i never go above 18/day and spread across separate domains

so if Google allows 500/day but the safe limit is 20, why is the official limit so much higher? is there a way to gradually increase past 20 with older accounts?

@noobsender The 500/day limit is for regular business email -- newsletters, customer communications, transactional emails. Google designed Workspace for businesses, not cold outreach. They tolerate cold email at low volumes but will suspend you if you treat the inbox like a mass mailing tool. Even old accounts should stay under 20/day for cold sends.

I've seen people claim they send 30-40/day per inbox with no issues. they're either lying or on borrowed time. it always catches up eventually. the risk-reward of going above 20/day is terrible — marginal extra volume for potential permanent account loss
